Email RSVP

The Email RSVP module lets you send registration invitations to a list of recipients by email. Each recipient receives a personalized email with a link to your registration form, so they can RSVP to your event with a single click.

Create an RSVP Campaign

Set up a new RSVP campaign tied to your event.

Steps:

  1. Open the Email RSVP page.
  2. Click the Create RSVP button at the top of the campaign list.
  3. Fill in the following:
    • Campaign Name (required) — a short name for the campaign (up to 100 characters).
    • Description (required) — a brief explanation of the campaign's purpose.
    • Support Email (required) — the email address shown to recipients if they have questions.
    • Extra Notes (optional) — a short note included with the email, such as dress code or parking instructions.
  4. Click Submit to save the campaign.

Send an RSVP

Once a campaign is created, send the RSVP email to a list of recipients.

Steps:

  1. Select your campaign from the list.
  2. In the detail drawer, click the Send RSVP button.
  3. In the Send RSVP dialog, fill in:
    • Form (required) — select the registration form recipients will fill out. Only Ticket Registration Forms built in the Form Builder are listed. If no forms exist, create one first via the link in the warning message (see Registration Form Setup).
    • Recipients (required) — upload a CSV file containing the list of people to email. See CSV Recipient Format below.
    • Strict mode (optional) — reject the entire send if any row is invalid or duplicate. See Strict Mode.
  4. Click Send RSVP (N) at the bottom right, where N is the number of valid recipients.
  5. Confirm by clicking Yes. A toast appears: "Queued N recipient(s)".

CSV Recipient Format

Use the Download Template button in the Send RSVP dialog to get a starter CSV file.

Required Columns

Column Description
Name Full name of the recipient.
Email Recipient's email address.

Notes

  • Maximum of 5,000 rows per send. Larger lists trigger a warning that delivery may take several minutes.
  • Header aliases are accepted (e.g. Full Name for Name, Email Address for Email).
  • Extra columns are ignored.
  • Fields containing commas should be wrapped in double quotes.
  • Duplicate email addresses within the same upload are rejected.

Strict Mode

The Strict mode toggle controls how invalid rows are handled.

  • Off (default) — invalid or duplicate rows are silently skipped. Valid rows are still sent.
  • On — the entire send is rejected if even one row fails validation. The dialog displays a table of failed rows showing the row number, name, email, and reason (e.g. "invalid email format", "duplicate email address").
When to use Strict mode: Turn it on when you want to guarantee that your full list is clean before any email goes out — useful for high-stakes invitations where partial sends would be a problem.

Send History

Track delivery progress in the Send History panel of the campaign drawer.

Steps:

  1. Select your RSVP campaign.
  2. In the detail drawer, locate the Send History section.
  3. Choose between two tabs:
    • Batches — view each send batch with its total recipient count and delivery status.
    • RSVP Logs — view per-recipient delivery and response status. Search and export logs from this tab.
  4. Click Refresh at the top right to reload the latest data.

Manage Campaigns

Each RSVP campaign in the drawer includes the following actions:

  • Send RSVP — opens the Send RSVP dialog (see Send an RSVP).
  • Edit — opens the Edit RSVP Campaign dialog (same fields as Create).
  • Delete — removes the campaign (confirmation required).

Registration Form Setup

Before sending an RSVP, you must have a Ticket Registration Form ready in the Form Builder.

Steps:

  1. Open the Form Builder page.
  2. Click Create Form and choose Ticket Registration Form in the wizard.
  3. Configure your form fields and click Create Form to save.
  4. Return to Email RSVP, create or open your campaign, and select your registration form in the Send RSVP dialog.

When recipients click the link in the email, they're taken directly to your registration form to complete their RSVP.
