Email Campaign

The Email Campaign module lets you send event-related emails — tickets, reminders, feedback forms, and custom designs — in bulk to your registered attendees. Each campaign has its own template type, recipient picker, and delivery history.

Before You Start

Some campaign types pull data from sibling modules. Set those up first or the dropdown will be empty.

  • For Email Template campaigns, design the email in Email Builder first. Only published templates appear in the Create Campaign dropdown.
  • For Feedback campaigns, build a General Form in Form Builder first — the Send dialog requires you to pick one.

Create a Campaign

Steps:

  1. Open the Email Campaign page.
  2. Click the Create Campaign button at the top of the page.
  3. Fill in the always-shown fields:
    • Campaign Name
    • Description
    • Support Email — appears on the sent ticket / email so recipients know where to reply.
    • Email Template Type — one of four options (see below).
  4. Fill in any extra field that appears for the chosen type (see the table).
  5. Click Submit to save.

Email Template Types

Type What it sends Extra Create-time field
Ticket Sends each recipient their event ticket (with QR code). —
Reminder Sends a reminder that the event is upcoming. Extra Notes — rich-text editor for parking, dress code, or any custom message.
Feedback Sends a link to a feedback form for post-event responses. — (the feedback form is picked later in the Send dialog)
Email Template Sends a custom email designed in Email Builder. Email Template dropdown — lists every published template from Email Builder for this event.

Send a Campaign

Steps:

  1. Open the campaign you want to send (click it in the list).
  2. Click Send Email in the campaign detail header. The Send Email dialog opens.
  3. (Feedback campaigns only) At the top of the dialog, pick a Feedback Form from the Select Feedback Form dropdown — this lists General Forms from Form Builder. Required.
  4. Choose recipients:
    • Use the search bar or click Filter to narrow by criteria.
    • Toggle Show All Tickets to disable pagination, then click the header checkbox to select every visible ticket.
  5. The footer shows the live count "0 of N tickets selected". The Send button also reflects the count: Send Email (N).
  6. Click Send Email (N), then confirm in the popup by clicking Yes.
Delivery is asynchronous: emails are queued and sent via AWS SES. Refresh the campaign in 3–5 minutes to see initial status updates.

Track Delivery (Send History)

The Send History section in the campaign detail panel records every send. Click Refresh at the top of the section to reload the latest data.

Two tabs

  • Batches — one row per Send Email click. Shows Sent / Received / Failed counts so you can see the success rate of each batch at a glance.
  • Email Logs — per-recipient breakdown of Recipient, Status, and Created At. Use this when you need to find out what happened to a specific person.

Per-recipient statuses

  • Sent — email accepted by the mail provider (handed off to AWS SES).
  • Delivered / Received — email reached the recipient's inbox.
  • Failed — email bounced or could not be delivered.
Note: Email Logs is a tab inside the campaign detail panel (alongside Batches), not a separate sidebar item.

Edit or Delete a Campaign

The campaign detail header has Edit and Delete buttons:

  • Edit reopens the Create Campaign dialog with the existing values pre-filled.
  • Delete removes the campaign after a confirmation prompt. Past Send History for that campaign is also removed.

Email Preview and Variables

The right side of the campaign page shows a live Email Preview iframe rendering the email exactly as recipients will see it. Personalisation tokens like {HOLDER_NAME}, {EVENT_NAME}, {EVENT_DATE_TIME}, {SUPPORT_EMAIL}, and {LANDING_PAGE_URL} appear as placeholders in the preview but are replaced with each recipient's actual data when the email is sent.
