Approval Model

The Approval Model lets you manage ticket registrations submitted through your own website, giving you full control over who receives a ticket and who doesn't. Open it from the Ticket Approval tab in the sidebar. Approving a request creates a real ticket and emails the attendee automatically; rejected requests stay visible until you delete them.

Approval Statuses

Every request sits in one of four statuses. The status determines which actions are available in the toolbar and the detail drawer.

Status Meaning
PENDING New request awaiting your decision.
APPROVED Approved into a real ticket; an approval email has been sent to the attendee.
REJECTED Declined. Stays visible in the list until manually deleted.
DUPLICATED The submission matches an existing ticket on Full Name + Email + Contact Number. Review manually before approving or rejecting.

Approving Requests

Approving is a two-step flow: pick the request, then choose which ticket type the approval becomes. You can approve into any ticket type — not necessarily the one the registrant selected.

Steps:

  1. Navigate to the Ticket Approval tab.
  2. Select the request(s) you want to approve. The toolbar shows a "N selected" badge and the Approve (N) button updates with the count.
  3. Click Approve (N). The Select Ticket Type dialog opens with the message "Assign ticket type for the selected ticket. This action cannot be undone once executed."
  4. Pick a ticket type from the dropdown. The Continue button enables once a type is selected, and a banner reads "N ticket(s) will be assigned to the selected ticket type."
  5. Click Continue. A confirmation dialog appears asking "Are you sure you want to approve N tickets?" — click the green Approve All button (single-row variant: Approve).
  6. The backend creates real tickets for each approved request and emails each approved attendee.

Re-approving a REJECTED request: The detail drawer for a REJECTED row doesn't show an Approve button, but the toolbar's bulk Approve does. Tick the REJECTED row in the table, click Approve, and the Select Ticket Type dialog opens normally.
Duplicate guard: If any selected rows are blocked by the backend's duplicate detection during a bulk approve, a warning toast appears listing which rows were skipped. The rest of the batch still proceeds.

Rejecting Requests

Rejection is a single confirmation step.

Steps:

  1. Select the request(s) to reject — the toolbar Reject (N) button shows the count.
  2. Click Reject (N). A confirmation dialog appears with a red Reject All button (single-row variant: Reject).
  3. Click Reject All to apply.

Note: An already-REJECTED request can't be re-rejected. It stays in the list with REJECTED status until you delete it — see Deleting Requests.

Duplicated Requests

A request is flagged DUPLICATED when the system detects that the submission's Full Name, Email, and Contact Number match an existing ticket (the same rule used by the ticket import flow).

How to handle a DUPLICATED row:

  1. Click the row to open the detail drawer and review the submission.
  2. If it's a legitimate duplicate (e.g. a guest who registered twice meaning to bring a +1), click Approve — the Select Ticket Type dialog opens so you can choose the right type.
  3. If it's truly redundant, click Reject.
Tip: Both Approve and Reject are available for DUPLICATED rows from either the toolbar or the detail drawer.

Deleting Requests

Deletion permanently removes the approval record. Use it to clean up REJECTED rows that are cluttering the list, or to remove an APPROVED record if you no longer need to track it.

Bulk Delete (Actions menu)

  1. Select the rows you want to delete.
  2. Click Actions > Delete (N) (red, only enabled with a selection).
  3. Confirm by clicking the red Delete All button (single-row variant: Delete).

Single Delete (detail drawer)

  • Open a REJECTED or APPROVED row — the drawer shows a single red Delete button.
  • PENDING and DUPLICATED rows show Approve + Reject instead, not Delete. To delete those, use the bulk Actions menu.
Note: Deleting an APPROVED row only removes the approval record. The real ticket created when the request was approved lives under the Tickets module and is unaffected.

Filtering and Exporting

Tools at the top of the page help you find specific requests and export the list for offline review.

  • Search bar — keyword search by name, company, or email.
  • Filter button — opens the advanced criteria filter. The button shows a red count badge when any filters are active.
  • Columns toggle — choose which table columns to display.
  • Show All Tickets toggle — disables pagination and shows every request at once. Off by default.
  • Refresh button — resets the store and re-fetches the list. Useful when multiple admins are working on approvals concurrently.
  • Actions > Export — exports the selected (or filtered) requests as a file you can open in a spreadsheet.
